Electronic visitor management is an important part of our multi-layered approach to school security. Screening visitors, ensuring they have a legitimate purpose to enter our buildings, issuing visitor badges, and accounting for all personnel helps create a safe learning and work environment.
Since September 2018, the Bellevue School District has utilized the LobbyGuard visitor management system to register visitors, issue visitor passes, and account for personnel in our buildings. This visitor management system implements a best practice that standardizes our visitor check-in process throughout the district. It provides uniformity for visitor badges across all district buildings which allows staff to easily identify a visitor in the building. In the event of a critical incident, the system allows staff to quickly identify and account for all visitors in the building.
Why are We Transitioning to iLobby?
As LobbyGuard operates on a Windows 10 platform that will shortly no longer be supported for security updates, the district has carefully selected iLobby (aka: FacilityOS) as our replacement visitor management system. iLobby is a self-check-in, cloud-based kiosk that operates on the secure Apple iOS platform. This will ensure continued security for our visitor logs information. The iLobby visitor management platform is used by many Fortune 500 companies and educational institutions.
What are Some of the Benefits of iLobby?
- Security: iLobby provides for a secure interface, operating off the Apple iOS system with visitor logs being stored in the cloud.
- Language Support: iLobby supports 46 different languages and provides wireless and Bluetooth operation and printing.
- Visitor Badges: Clear visitor badges are printed on thermal paper with the district logo and a picture of the visitor.
- ID Requirements: Government-issued ID is not required for check-in. Visitors can either manually enter their name or scan a government-issued identification. No background checks are conducted.
- Customization: The iLobby visitor system is customizable to each site, meaning different prompts/questions can be placed on a school’s check-in kiosk based on the needs of that school. While we will standardize our check-in questions across the district as much as possible, there will be a need at some schools to ask for additional information, such as: vehicle information at secondary schools and classroom teachers being visited at elementary schools.
How Does the iLobby System Work?
Office staff will greet visitors, and the visitor then follows the on-screen prompts to check in with a government issued ID. If the visitor does not have a government-issued ID, they can manually enter their name via the on-screen keyboard. Once all applicable questions are answered, i.e. classroom being visited or vehicle information, a picture is taken of the visitor, and a temporary visitor badge is printed. The visitor badge must be worn on the upper torso of the visitor. The visitor badge has the visitors’ name, picture, and the date/time they checked in. Upon leaving the school, visitors remove the badge and sign-out using QR code scanner on the kiosk. The visitor badge can then be discarded.
